About the Job

Equality Arizona seeks a full-time position of Administrative Assistant to provide support for the Executive Director and the management team.

Equality Arizona is a non-profit organization made up of a 501(c)(3), the Equality Arizona Foundation; a 501(c)(4), Equality Arizona; and the Equality Arizona Political Action Committee. We use a variety of strategies to build the political and cultural power of LGBTQ Arizona.

Reporting to the Executive Director, the Administrative Assistant will support the Equality Arizona staff by ensuring the team has the tools, information, and logistical support necessary to accomplish its work. The Administrative Assistant handles clerical tasks and provides support to ensure that the Division operates efficiently.

  • Provide general clerical and administrative support to Staff, primarily the Executive Director, including scheduling, arranging travel, processing and tracking expense reports and invoices, data entry, maintaining filing systems, and ordering supplies

  • Handle scheduling for the Director and Staff

  • Handle travel arrangements and calendar for Executive Director and organization.

  • Schedule, facilitate, and provide logistical support for org events, welcoming guests, scheduling and arranging meetings, conference calls and webinars; coordinating catering and audio-visual requests; preparing materials and taking minutes

  • Coordinate travel and provide itineraries for Executive Director and Staff. Process travel and other expenses using QuickBooks expense reporting system. Ensure expenses are coded and charged properly. Maintain related records

  • Code and submit invoices to Accounting for processing. Mail and track payments accordingly. Maintain related records

  • Maintain Org calendar and organize electronic and hard copy filing and tracking systems

  • Draft correspondence and other materials as requested; respond to written and verbal inquiries, as directed

  • Prepare, proofread, and edit documents

  • Provide administrative support for the managers’ review of applications for intern positions

  • Work jointly with interns and communicate routine and/or procedural guidance on projects assigned by managers

  • Perform job-related special projects and other duties as assigned by the Executive Director 

Minimum Qualifications
  • Ability to handle multiple assignments, prioritize tasks and see projects through to completion under tight deadlines

  • Must possess excellent communications skills, verbal and writing. Ability to pay attention to details

  • Ability to take initiative, and work independently as well as part of a team

  • Must be able to exhibit tact and diplomacy and demonstrate grace under pressure

Preferred Qualifications
  • At least 2 years of administrative experience in a fast-paced environment

  • Previous experience with legislative issues, advocacy, or political work
